the programme searches for approx 22500 quotes even though we only have approx100 open quotes. How do we stop it searching for so many which are most likely attached to invoices?

I assume you are talking about using a quick search.
What I would do is to use a standard search first, indeed I would leave the standard search active all the time.
The standard search would be to filter out all non active quotes. Most of the time we have no interest in non active quotes.
Then when you do a quick search Sage only needs to search the subset of active quotes to find it.
I don't understand the relation ship between quotes and invoices, perhaps if you explained what your objective is I might be able to offer something more.
