Tricky reports

Post by Louise » 11 Jan 2011, 12:21

My Director has asked me to keep spreadsheets for his business plan but I can't find the correct template and I have no idea how to make one - does anyone have any idea how I can get the following reports:
Sales invoices minus sales credits per months by Nominal code
Purchase invoices minus purchase credits per month by Department
Sales receipts minus sales payments per month by Nominal code
Purchase payments minus purchase refunds per month by Department.

I would be extremely grateful for any help or advice.

Tricky boss?

1 & 2 - What about transactions such as purchases that are not done with invoices eg Bank Charges, Insurance payments... should these be omitted from reporting? What has the type of transactions got to do with it, we just need to know what has been earned and what has been spent.

Doing a TB skipping the Balance Sheet for the Sales accounts 4000-4999 and a TB by department for the Purchase Accounts 5000-9999 would fit the bill giving a FULL picture.

Or better still summarising the full TB with a P&L and BS would be better.

3 & 4 - Sales receipts go between the control account and the bank account in the nominal ledger so "Sales receipts minus sales payments per month by Nominal code" is just the turnover for the month, I don't think that what has been asked for is what is wanted.

Purchase and Sales Day books are in the appropriate reports section of the Customers and Suppliers modules but this is not a good way to monitor credit/debit control.
The aged creditors and aged debtors reports are much more useful. We don't need to know what Customers have paid us, we need to know what they haven't paid us and how late they are.

=============

"Turnover is vanity, profit is sanity but cash is reality"

Looking at the value of Sales / Purchases receipts/payment is Turnover
Looking at Sales versus Expenditure by nominal is Profit
Looking at the Balance Sheet is the value of the business - Cash in the bank

I think that the standard package of P&L, Balance Sheet together with Aged Creditors/Debtors are what are needed a Department P&L and a Departmental TB breakdown would be useful as well.

Now you just need to sell that to the powers on high.

Thanks Bruce, as always you are right. I believe he wanted the spreadsheets for some sort of forecast/cashflow idea he had. I can only hope he sees your suggestions as a better plan.

Please be careful, I am not always right.

I am human and I make mistakes, (one of my better qualities).
