Charity foundation

I've just started bookkeeping for a new client. My client runs a foundation to donate to various charities and he wants to keep tabs on how much is donated to each organisation. I've never dealt with charities before. I don't want to just put everything into 8200 as that would just lump all the donations together. I have already used the 'Departments' to relate to the different property investments that he has.

My initial thought is to set up each one as a supplier. It would then be simple to show payments, and be clear how much each one has received. Another thought is to give each one a nominal code in the 82xx range, but this may become too cluttered and there are probably more than 99 recipients.

I would appreciate any thoughts and suggestions. Thank you.

Hi,
I'm coming back to this question. I've spent the last the few months working for this foundation. I set up each recipient as a supplier, and then each payment was recorded as a payment on account, since there are no invoices against which to settle the outgoing funds. I have just realised that this doesn’t make sense, as the payments don’t show up in the accounts.

How can I show the donations in the accounts while at the same time keeping a record of how much has been received by each beneficiary. I'm thinking again of creating a separate nominal code under the 82xx range of general expenses. I still think this would become cluttered.

Are there any other options?

Have you enabled the Charity/Non-profit options in Sage 50 ?

Donations are handled as a combined invoice and receipt if you enable the charities options in Sage 50.

It also allows you to allocate to "funds" claim tax back on donations and so on...

And you can set people up as a fund which shows the income/expense breakdown for them.
