difficulties of deleting unused stock
difficulties of deleting unused stock
Sage 50 2007 user on windows 7.
On a previous post you discussed the issue of the difficulties of deleting unused stock as it relates to losing history etc.
You suggested "A moderately good work around is to create an "Obsolete Stock" category and then use searches to hide those dead products from view until year end when you can make an archive, clear the stock transactions and then actually delete them."
How do you go about doing this? how do you begin an obsolete stock category? and how do you use searches to hide the dead products?
Thanks for your help

Re: difficulties of deleting unused stock
All the stock categories already exist, you just need to label one as being obsolete.
You apply a search in the products module by pressing the search button, then entering the parameters eg Where, Stock Category, is not, Obsolete Stock

Re: difficulties of deleting unused stock
Hi & Thanks for your reply.
Basically I wasnt able to achieve the desired result of hiding dead products from view until year end.
Are you able to offer me a really simple step by step guide, of how to go to a product that I no longer use and simply make it disappear from the record?
Your advise is much appreciated . As it stands my product recored is too long and is interfering with writing out the sales orders
Thanks
Scottieh

Re: difficulties of deleting unused stock
You CANNOT remove it without clearing the stock history (unless you have special tools)
You can only hide it.
The way you do this is to use a "Product Search" to hide the products you do not wish to see.
How far did you get with your attempt?
What problem did you experiance?

Re: difficulties of deleting unused stock
Hello
Well at the moment I have simply clicked on an item that I want to hide from the list, bought up the search, but am unsure of which parametres to put in to successfully hide it?
There is "where" " stock category number" " is not equal to " " Value"
I dont know what variables to put in to make individual items that I want to disappear.
Have you got an example of what variables to put in to make a a particular item disappear?
Thanks

Re: difficulties of deleting unused stock
Searches allow you to filter your view, you do not need to select enything to use them.
Try using searches for something simple to start with for example you could hide all customers where the balance on their account is zero
Go to Customers module
Click on Search
Chose "Where" in the first boc
Chose "Balance" in the Second box
Chose "Is not equal to" in the third box
Enter 0.00 in the last box.
Apply the search and all customers with zero balances will be hidden from view.
Once you have the hang of using searches you will see how powerful and they are.
The next steps you can do are
make more complex searchers with more than one line
save searches for reuse
For this specific application you also need to categorise your stock by changing the stock category on items, you can then use a search to hide the stock you are not interested in.
