ARCHIVE DATA FUNCTION

I am carrying out the year end on my company data (Sage version 16.00.17.0154 running on XP). I have ticked the archive data box and it has reduced my file size, but I can still see all the data exactly as it was before.

Could someone please explain exactly what the archive data option does because when I read in the 'help' in sage, it suggests that to view the archived data, you would have to load it up? So, I wonder if I'm not archiving properly?

Also, does anyone know if this can be done at any other time in the year, or is it only at the year end?

I have cleared my audit trail, but it doesn't seem to reduce the file size at all.

The archive is just a snap shot of your data before you did your year end which you can relatively easily go back and look at.

It sounds to be like the clearing of the audit trail has not removed all the transactions you expected it to.

There are a lot of reasons why transactions might be retained.

If you can't work out why the transactions have been retained, then why not spend a half hour with me, to look at them, find and explain the reasons for individual transactions still remaining.
