E-mail invoices

Hi - not strictly a new topic but I can't find an answer. I'm running Sage 50 Accounts Professional 2009 v15.01.20.0191, Outlook 2003 and Windows XP. I have set up default e-mail in Tools and the test e-mail sends OK, but even though I have set up the e-mail settings for my sales invoice exactly as per your guide, the e-mail does not send. It looks as though it has - pdf and printer icons flash in the toolbar but no e-mail is sent. Could this be anything to do with the fact that I have multiple client info on sage and several e-mail accounts in Outlook?

What are the email sending options in the reports email settings set to?

Send immediately / save to Mailbox

Mail Provider: Mapi/SMTP/Outlook/Outlook 2010 etc.


In Tools>Options>Email Setup

What is the Default Provider?
Is the box ticked next to "Where MAPI is specified use the default provider instead"

I have tried both sending immediately and save to mailbox but that doesn't make any difference.

The default provider is set to SMTP with the details of the client server that I want to use

If you select SMTP then Outlook is not used the mails are sent direct.

You need to select MAPI (or Outlook Version) to send via Outlook.

You need to ensure that the MAPI option is set in the report, that it is not being overridden in email defaults.

I have changed the Tools>Options>E-mail to MAPI using Default profile. This sends a test message (Albeit from my own e-mail address and not from the one for my client). I have also changed the e-mail settings in the layout properties to MAPI. However, when I preview the invoice and click on e-mail I still get the pdf and printer icons flash in the toolbar but no e-mail is sent. :evil:

Can you export a document to PDF?

Perhaps you do not have all the updates?

What is the full version numberof Sage 50 and the Report Designer - Help>About will give you them.

Hi, I can export a pdf no problem.
Sage is Sage Accounts Professional 2009 V 15.01.20.0191 and Report Designer is V1.0.0.5
I have automatic updates switched on so should have them all.

You are missing the update to the report designer Report Designer v1.3.2011.30

I would make sure that is applied before going any further.

Thanks - now have the update applied and am now getting a pop up message saying that report has been successfully output to e-mail but still no invoice received by e-mail.
I have also run the test e-mail under Tools>Options and it is still being sent from my own e-mail and not the one I have set up in Outlook for my client (Outlook 2003)

The invoice will only be sent if you have selected the option to send immediately.

Otherwise it will be in the inbox or drafts folder of outlook, waiting for you to open it and send it.

Sorry - that's not it either! I have tried both sending immediately and also saving to mailbox and the e-mail just doesn't appear anywhere!

Yes - Outlook is default and the 'test' e-mail from Tools>Options>e-mail setup works OK

The test e-mail works on both SMTP and MAPI
