Deleting Stock Records
Hi
I am using Sage 50 Professional 2008 v14.01.26.246 on Windows XP Professional version 5.1
I am in the process of changing all of our product codes. I have managed to import the new product codes from a csv file but can't delete ALL of the old ones. I have managed to delete most of them but am left with 1 stock item which is apparently linked to a project. There are none in stock, allocated or on order but i still can't delete the record because there are project transactions associated with it which i can't seem to clear. I have tried deleting the project but I can't.
I have cleared stock in 'Tools - Period End' and have closed all POs and SOs. I have also cleared all stock levels down to zero.
I also have several non-stock and service items which either have items allocated or on-order which i can't seem to delete.
Can anyone help?
Thank you
Sian

Re: Deleting Stock Records
Hi Sian
Changing codes is not easy, you need to wipe the entire history and remove all the stock items to do it. You them get thousands of warnings because invoices contain items that no longer exist!
If you want I have a tool, that will change all the items everywhere. So rather than creating new productas, we just turn the old products into new one, we keep all the history, we don't get warnings.
I need you data and a spreadsheet with 2 columns, in the first one, the old code in the second one the new code.
Cost would be dependant on the amount of data as that will influence how long it will take to do, I would guess between 45mins and a couple of hours.

Thank you for your reply
Unfortunately I am not just changing the product codes - I have a completely new product list so don't think it would be possible just to change the codes
Let me know if this isn't the case
Thank you

Re: Deleting Stock Records
so you are not Changing stock codes, you just want to delete old stock codes.
To delete the old stock codes, you need to clear the stock history so there are no items in stock and no stock transactions.
You also need to make sure there are no allocations or numbers on order.
Then you can delete them. Unfortunately this means deleting all the stock history for all the items.
I do have a tool that allows me to delete some items and leave others without deleting all the history of the records not being deleted if you need to keep history on some products and delete others.
The other option is to not delete the obsolete items, instead just put them in an obsolete stock category and use a search to hide that category.
If you look at the record, it should have no transactions, no allocations and nothing on order.
I suspect you have one or the other.

I have cleared all the history with the exception of 2 x GO lines which relate to a project which i can't seem to get rid of
As i said in my original post i have done a period end - clear stock, i have closed all POs and SOs but can't seem to get rid of the project transaction
Any ideas?

Re: Deleting Stock Records
Is there an allocation that has not been issue on the item?
Go to products>Make Allocations>Issue Allocations>Select Product Code
See if anything is awaiting issue.
