Archiving data/Clear Audit Trail

Post by andrewc » 14 Jul 2011, 14:26

We are using Sage 50 Accounts v16.0.17.0156 CB on Windows 7.

Our accountant has just done the year end on our accounts but didn't tick the archive data box. Is it too late to archive the data for the previous year or can it still be done?

The person who was working on the accounts before me made a complete mess of everything and I want to draw a line under it and start afresh from the new financial year. If I can't archive then can I just clear the audit trail and have much the same result? Can you do one without the other?

I'm fairly new to sage and have been thrown it at the deep end with this, any help is greatly appreciated

Thank You

Andrew

Clearing the Audit Trail removes fully paid and reconciled transactions from the Audit Trail but does not allow you to start from fresh. If you want to have a clean start with Opening Balances, if you go to File -> Maintenance -> Rebuild, you can remove ALL transactions so you start with zero balances across the board whilst retaining your customer/supplier details at which point you can start with opening balances.

If you backup the current data, restore the pre year-end backup, do a year end as far as creating an archive and then restore your data you can recreate the archive.

As for the mess.

I would work forward rather than restarting from scratch, just go at it, bit by bit, check the customers are right, check the suppliers are right and check the bank is right.

Any error or duplicates etc, just reverse out to a "previous accountants mess" account.
