Bar Stock Control

We area small sports club with a bar. We handle bar sales through Sagepay which feeds Sage 50 Accounts (just upgrading to 2013). We want to use Sage Accounts to run bar stock control. We can't figure out how to handle things like wine. For instance lets say we are talking about a bottle of Tall Horse Chardonnay. We sell it in 125ml, 175ml, and 250ml glasses and we'll also sell a bottle (750ml). Each one of those 4 different sale items has a separate ledger code, but we want to manage our stock at the top level of a bottle. How do we consolidate the sales all to the bottle level for the purposes of stock control? Many thanks.

You can use Bills of materials.

You have a BOM "recipe" for a 250ml glass of wine which is 0.33 Bottles
You can convert a bottle into 3 250 ml glasses with "transfer"
You do the same thing for the other amounts.

If you allow negative stock, then every so often you transfer enough whole bottle into the glasses to bring them positive.

As we know there are "additional losses" when selling by the glass rather than the bottle so you can build in a loss margin in the recipe if you want.

I think it is not too bad as far as sage is concerned, the real problem in Bars is "shrinkage".

The only real solutions are trustworthy staff and cctv. Indeed it is one of the reasons that so many bars are small outfits with owner managers who can keep a close eye on staff.
